This article has important information to help you get the most from a data sync to Performance Pro and/or Compease.
Having a data integration with your HRIS or payroll application can improve your efficiency in using Performance Pro and Compease. Listed below are the steps to set up and successfully share data with Performance Pro and/or Compease:

As a first step, please reach out to your Account Manager for your payroll application (or HRIS) provider and let them know you wish to share data to HR Performance Solutions products from that application.

The application provider will line up their integration technician and then work to schedule an initial scope call with you and the HR Performance Solutions integration resource. In that call, we will review:

Fields that populate to Performance Pro and/or Compease
- Information your HRIS requires to deliver data

Confirm the data integration scope terminations and frequency of file transmission

Timeline to complete the initial file preparation

Next, the client or the HRIS/payroll provider will begin building the first file based on the data in your system of record.

HR Performance Solutions will create the SFTP site and provide the HRIS/payroll provider integration technician with those credentials.

The first file is delivered to the SFTP folder, then validated by HR Performance Solutions to ensure it populates Performance Pro and/or Compease properly. If there is inaccurate or incomplete data, the client is asked to finalize their data prior to the next file transmission.

Once the data verification is complete, we will enable the sync and the first file will populate Performance Pro and/or Compease.

With each sync, an import notification will be delivered to the client via email.

Please note the additional notes and responsibilities associated with the data sync:

The data sync is unidirectional where data flows from your HRIS or payroll application to Performance Pro and/or Compease.

Data populates the applications on a daily or weekly basis. The client determines the frequency.

The file is transmitted at approximately 1:00 am, ET. Files need to be sent to the given SFTP folder prior to this time, else the file will be imported into the system on the following run.

HR Performance Solutions will work with you and your HRIS or payroll application provider to ensure the initial file meets the data mapping specifications.

HR Performance Solutions will ensure the function of the data transmission to populate Performance Pro and/or Compease with the content of a properly formatted file.

HR Performance Solutions will provide the client, via email, with an import log with each file transmission.

The client is responsible for preparing an accurate and complete file to be transmitted.

If any issues arise in the transmission of the data, HR Performance Solutions will work with the client and, if necessary, the HRIS or payroll application provider support team to resolve them.
Please note the following business rules:

Once the data sync is enabled, if you make a change to a shared field in Performance Pro and/or Compease, the data in that field will be over-written when the data sync occurs next.

A manager who has direct reports assigned to him/her cannot be terminated via data sync unless all the direct reports have been assigned to another manager. At that point, that manager can be terminated. If the terminations happen all in the same file, it will still terminate the appraiser either on that days’ file containing all of the reassignment of their direct reports or it would terminate the appraiser on the next file assuming the data feed sends the Termination Date for a certain period of time .

Performance Pro/Compease integrated sites will have information updated in Performance Pro first, then any applicable fields will flow into Compease .

Specific to Performance Pro: Each “Position” sent from the source data (HRIS/payroll application) must already be entered in Performance Pro otherwise a new position will be created automatically. The name of the position from the source data must match exactly the position name in Performance Pro. If a position is created by the data sync, the admin user should confirm the new positions and add factors/competencies, if needed.

Specific to Compease: Job titles must exist in Compease prior to the data sync otherwise they will not be updated on the employee’s record.
