Summary Comments can be used to capture qualitative data as part of an Appraisal.
As part of the appraisal, as an Admin, you can prepare a variety of question types in the Summary Comments section including:
- comment box
- single-line text
- drop-down menus
- radio-button groups (multiple choice)
- checkboxes
- date fields
There is a lot of flexibility with Summary Comments. These items can be made optional or required for the employee, appraiser and/or multi-appraiser. To build and customize your organization’s Summary Comments, please follow the instructions below:
STEP 1: Click System Setup > Company Settings > Summary Fields Tab
This tab displays existing appraisal questions including the field name, field type, and who will see and respond to the question. In the example below, the Summary Comment items will appear on only the employee’s self-appraisal as both the appraiser and multi-appraiser are unchecked. Existing questions can be edited, reordered or deleted.
Please note, if you are using concurrent appraisals such as those for probationary new hires, you may add specific questions to specific appraisals using the Appraisal Process drop-down menu. Switching between appraisals will allow you to customize the summary fields for each.
STEP 2: Click Add Field.
In the “Name” field, enter the question or prompt text. Then choose the field type. As examples, A comment box would be the best choice for a written response question and a drop-down menu is best to select one specific answer. Finally, choose whether the question will be required or optional.
STEP 3: Click Save
After saving, Performance Pro will return to the Summary Fields screen. Here, you will have the option once again to assign it to the employee, appraiser, and/or the multi-appraiser (where applicable). It is important to note that the newly created question will NOT appear on an appraisal until you place checkmarks in the boxes to denote who should be responding to the question.
