This article will discuss allowing employees to view Performance History (past appraisals, Notes, Forms, Additional Documents), Peer Feedback, their current appraisal after it's merged with the appraiser's input, and their job description.
Grant Employee Access to Performance History
Note: Activating these features will give all employees access to their Performance History, not just select employees.
Set your role to Administrator.
From the main menu, under System Setup, click Company Settings.
In the Hide and Show area of the screen, click the View Performance History box. Additional options will appear.
Click in the boxes beside the items you would like to grant employee access (Notes, Forms, Appraisals, Multi-Appraisals if applicable, and Additional Documents).
Click Save.
CAUTION: If you enable the View ALL Notes setting, employees will be able to see all of the notes on their own Notes tab, regardless of if they were shared with them or not. If you would like employees to only see notes that are shared with them, leave View ALL Notes off and then enable the Share Note and Shared Note Email Notification settings in the Advanced Features area of this screen. Employees would then receive the contents of shared notes in an email.
Grant Employee Access to Upload Additional Documents
If "Additional Documents" is checked above, employees can see all the documents that have been uploaded to their Additional Documents tab, regardless of who uploaded them.
Employees can also be given the ability to upload documents themselves to their Additional Documents tab.
Note: If the "Employee Additional Documents" feature is activated as described below, they will automatically be able to view all documents they have uploaded, regardless of whether or not the "Additional Documents" feature above was activated.
Set your role to Administrator.
From the main menu, under System Setup, click Company Settings.
In the Advanced Features area of the screen, click the Employee Additional Documents box.
Click Save.
Grant Employee Access to Peer Feedback
The Peer Feedback tab in Performance History is visible by default but can be hidden by the Administrative User. If employees have access to Performance History, and Peer Feedback is not hidden, they will be able to see feedback that has been given to them on this tab.
If the Peer Feedback widget is set up to appear on the Home Screen, employees can give feedback from the widget. (See article, "Widget: Peer Feedback," for detailed instructions.)
Administrative Users and appraisers are able to give peer feedback from the widget (if it is on the Home Screen) and from the Peer Feedback tab.
Grant Employee Access to Merged Appraisals
There is an option in Performance Pro which allows you to give appraisers the ability to share the merged appraisal with the employee. Once the employee evaluates all criteria and marks the appraisal as Ready, the appraiser merges their evaluation with the employee's self-evaluation. If Allow Employee Access is activated in System Setup, appraisers will have an Allow Employee Access checkbox appear when they merge the appraisal.
If checked, the employee will receive an e-mail notification informing them they can view the merged appraisal by clicking the My Current Appraisal button on their Home Screen. This will only be available while the appraisal is merged, but not yet marked Complete.
Grant Employee Access to Job Descriptions
Step 1: Ensure your job descriptions are stored in Performance Pro and assign them to your Position titles. (See article, "Uploading Job Descriptions and Linking to Positions," for detailed instructions.)
Step 2: Activate the Job Description feature from System Setup > Company Settings > Appraisal Settings.
Select Employee Home to have the ability to add a job description widget on the Home Screen for employees. Employees can access their job description from the View icon in the widget. (See article, "Widget: Employee Job Description," for detailed instructions.)
Select Appraisal Screens to allow the job descriptions to be accessible from appraisal screens.
